1. Using Task Portal

These Terms of Service apply to the Task Portal website, workspace application, modules and companion apps provided by Task Portal (“we”, “us” and “our”). By creating an account, accepting these terms or using the service after being given access to them, you agree to these terms to the extent permitted by applicable law.

You must have the legal capacity and authority to enter this agreement, or use the service with the appropriate authorisation and supervision of a parent, guardian or organisation. If you act for an organisation, you must have authority to act for it. Do not use the service if you do not agree to the terms that apply to your use.

Our contact for these terms is admin@taskportal.com. Our Privacy Policy explains how we handle personal information.

2. Accounts and access

Provide accurate account information, keep your contact details current, protect your credentials and notify us if you suspect unauthorised access. Use sharing and role controls to give each person appropriate access rather than distributing your login credentials.

You are responsible for activity you authorise through your account and for the permissions you grant. We remain responsible for our own obligations under applicable law. Workspace owners and administrators are responsible for managing their participants, the content they collect, and any notices or permissions their organisation needs.

3. What the service provides

Task Portal provides a configurable workspace for tasks, modules, files, collaboration, messaging, calls and optional connected services. Features, storage and participant limits depend on the plan and enabled modules. Some features require compatible devices, internet access, permissions, third-party accounts or additional configuration.

Task Portal is not an emergency service. Do not rely on messages, calls, notifications, location results or reminders as the only means of responding to an emergency or meeting a safety-critical obligation. A medicine, finance, payroll or other specialist module is an organisational tool; its output must be checked against the relevant professional requirements and source information.

4. Acceptable use

Use Task Portal lawfully and respect other people’s privacy, security and rights. You must not:

  • Upload unlawful material, malware or content you do not have the right to use, or use the service for harassment, fraud, impersonation or unsolicited messages.
  • Attempt to bypass account permissions, payment or usage limits, isolation protections, or access another person’s account, files or device without authority.
  • Disrupt the service, deliberately overload infrastructure, interfere with other users or conduct unauthorised security testing against live systems.
  • Use modules, integrations or phone features to conduct covert surveillance, obtain location information without authority, or record people without legally required consent.
  • Remove required notices, misuse Task Portal branding, or use the service in a way that infringes another person’s intellectual property.

Tell us about suspected abuse or a security concern at admin@taskportal.com. Do not include passwords or other unnecessary sensitive information in your report.

5. Your content and sharing choices

You retain your rights in the content you add. You give Task Portal a non-exclusive permission to host, store, copy, process, transmit and display that content only as reasonably needed to operate, protect and support the service, follow your instructions and meet applicable legal obligations. This permission does not transfer ownership of your content to us.

You are responsible for the accuracy and lawfulness of your content and for obtaining authority to upload information about other people. Keep an independent copy of information you cannot afford to lose and use available export or download controls where provided.

When you share a workspace, conversation, file or module, authorised recipients may be able to view, edit, copy or download it according to the access granted. A public link may allow people to access selected content without an account. Check permissions before sharing. Revoking a link or removing a user cannot recover copies they already made, and past activity attribution may remain.

6. Modules and AI-assisted work

Install or build modules only from sources you trust, check the permissions and capabilities they request, and review their behaviour before using them for important records. Custom modules can contain errors or behave differently from their description. You are responsible for the code and content you supply and for having the necessary rights to install and use it.

AI-generated responses, code and module packages may be incomplete or inaccurate. Review and validate outputs before acting on them, especially where money, health, employment, safety or legal obligations are involved. Do not provide confidential information to an external AI service unless you are authorised to do so and accept that provider’s terms.

Modules and AI-assisted features do not expand the permissions you have to other people’s accounts, content or devices. We may restrict a module or capability where reasonably necessary to protect the service or other users.

7. Communications and device features

Send messages, make calls and invite other people only where you have the appropriate authority. Availability indicators, delivery, notifications and connection quality depend on network conditions and other systems and may not always be current or reliable.

Before recording a call or sharing a recording, obtain any legally required consent from participants. An on-screen recording notice is not a substitute for that consent. You are responsible for how you use and distribute recordings and attachments.

Phone permissions and device capability settings remain under the device user’s control. Authorising a workspace or module to request a location, photo or other device response does not permit bypassing operating-system permissions or the user’s consent. Some requests require further approval and may be declined, delayed or unavailable.

8. Third-party services

Optional integrations, including calendar providers, messaging channels, calling infrastructure, app stores and external AI services, may have their own terms, fees and privacy practices. You are responsible for your third-party accounts and for authorising the data and actions you want to connect.

Calendar synchronisation can create, change or remove events and related task information. Check the permissions before connecting and review synchronised records. Disconnecting a calendar stops the local connection but does not remove events already written to the provider or undo changes previously made to tasks. You can also revoke access through the provider’s account settings.

We do not control third-party availability or their independent handling of data. This does not remove any responsibility we have for our selection or use of service providers under applicable law.

9. Plans, payments and cancellation

Available plans and limits are shown on the pricing page and in the application. Any applicable charges, billing period, taxes, included allowances and renewal conditions must be disclosed when you enrol in a chargeable plan. A displayed price, free upgrade or promotional entitlement is not by itself permission to charge you.

Where you accept a recurring paid subscription, it renews only on the basis disclosed at checkout. You can use available account controls or contact admin@taskportal.com to request cancellation of future renewals. We explain the effective date and any outstanding amounts properly due under the accepted payment terms.

We give reasonable notice of material price or plan changes before they take effect for a future billing period. We do not apply a higher price retrospectively to a period already paid for without your agreement. Cancelling a subscription does not automatically delete your account or its content.

Any refund terms shown at purchase apply subject to your statutory rights. Nothing in these terms creates a blanket “no refunds” rule or excludes a remedy required by consumer law.

10. Availability, changes and suspension

We aim to keep Task Portal available and reliable, but maintenance, failures, network conditions and third-party services can cause interruptions. We may update features and modules. Where a material change affects an ongoing paid service, we provide reasonable notice where practicable and an appropriate remedy where required by law.

We may proportionately restrict access, remove content or suspend an account where reasonably necessary because of a serious breach, security risk, unlawful activity, an unpaid amount properly due, or a legal requirement. Where practicable, we explain the reason and provide an opportunity to resolve the issue. Urgent action may be necessary to protect people or systems.

You may contact us to query a restriction or request review. If we permanently discontinue a prepaid service, we address any unused prepaid amount and other remedies in accordance with applicable law.

11. Closing your account

You can stop using Task Portal and request account closure by emailing admin@taskportal.com. We may verify your identity and authority, explain any subscription cancellation steps, and identify information affected by closure. Download the records you need before access ends, using available controls or asking us for assistance.

Closing, deactivating or signing out of an account are different actions. Deactivation does not itself erase retained records. Information is handled under the retention and deletion section of our Privacy Policy, including legal requirements, security records and copies legitimately held by other users.

Provisions that need to continue after closure, including outstanding payment obligations properly incurred, content rights needed for lawful retention, and statutory rights, continue to apply.

12. Intellectual property and consumer rights

Task Portal’s software, designs, branding and other service materials are owned by us or our licensors. Subject to your plan and these terms, you may use them as part of the service. You do not acquire ownership of our branding or software. Rights in third-party and open-source components remain subject to their applicable licences.

Nothing in these terms excludes, restricts or modifies rights, guarantees or remedies that cannot lawfully be excluded. This includes applicable rights under the Australian Consumer Law. Where those guarantees apply, services must meet the required standards, and remedies may be available if they do not. See the ACCC’s consumer rights guidance.

We do not promise that every feature will be uninterrupted, error-free or suitable for every purpose. That statement does not remove our legal responsibility for the service. Each party remains responsible for loss or damage for which it is liable under applicable law; these terms do not impose a blanket waiver of your rights or an unlimited indemnity on you.

13. Questions, disputes and updates

Contact admin@taskportal.com with questions or complaints, including a description and the outcome you seek. We aim to review concerns fairly and respond within a reasonable time. You remain free to use any regulator, tribunal, court or other complaint process available under applicable law.

We may update these terms and publish the new date and text here. We give reasonable notice of material changes through an appropriate channel and seek agreement where required. Changes do not retrospectively remove accrued rights. If you do not accept a material change, you may stop using the service and contact us about cancellation and any remedies available to you.

If part of these terms cannot be enforced, the remaining provisions continue to the extent lawful. These terms do not override mandatory protections that apply where you live or use the service.
